Your first 30 minutes in PropSocket

Last reviewed

For: A new admin who just received an invitation to PropSocket.

You’ll accomplish: signing in safely, confirming your Organization settings, inviting your team, and reaching the point where you’re ready to connect your property management system (PMS).

PropSocket sits between your PMS (like Entrata) and the tools your team uses, keeping a clean, up-to-date copy of your property, unit, resident, and lease data. This guide gets your account set up so you can connect that first PMS.

You don’t need to write any code for any of these steps.

1. Accept your invitation

You’ll get an email invitation to join your company’s PropSocket Organization. An Organization is your company’s private workspace — all your data and integrations live inside it, and no other PropSocket customer can see into it.

  1. Open the invitation email and click the link to accept.
  2. Sign in. PropSocket uses a secure sign-in provider, so you’ll either set a password or sign in with your company’s single sign-on (SSO) if your team has that set up.

If the invitation link has expired, ask the person who invited you to send a new one, or see the escalation block at the bottom of this page.

2. Set up multi-factor authentication (MFA)

Multi-factor authentication adds a second step to sign-in (usually a code from an app on your phone), so a stolen password alone can’t get into your account.

MFA is available to every Organization, on every plan. You’ll be prompted to set it up when you sign in — follow the on-screen steps to link an authenticator app.

If you aren’t prompted and you expected to be, see the escalation block at the bottom of this page and we’ll help you turn it on.

3. Confirm your Organization name and time zone

Before you connect anything, make sure the basics are right. The time zone matters because it’s how sync times and schedules are shown to your whole team.

  1. Open your Organization settings. [confirm dashboard UI]
  2. Check that the Organization name is correct — this is what your teammates and anyone you share reports with will see.
  3. Confirm the time zone. If sync timestamps later look “off by a few hours,” this is usually the cause.

Only an admin can change Organization settings. If the fields are read-only for you, you’re a member (more on roles next) — ask an admin to make the change.

4. Invite your teammates

PropSocket has two roles. Pick the right one for each person:

What they can do admin member
Invite teammates and change roles Yes No
Connect a PMS integration Yes Yes
Pause, resume, or delete an integration Yes No
Configure webhooks Yes Yes
View sync history and your synced data Yes Yes
Create live (ps_live_) API keys Yes No
Create test (ps_test_) API keys Yes Yes
Edit Organization name, billing, and sign-in settings Yes No

In short: admins run the account; members can do day-to-day work and connect integrations but can’t change billing, manage other people, or delete integrations.

To invite someone:

  1. Open your organization settings.
  2. Enter the teammate’s work email.
  3. Send the invite. They’ll get an email just like you did and follow steps 1–2 above.

NOTE: One person cannot belong to more than one Organization. If a teammate already uses PropSocket for another company, they will not be able to accept your invite and switch to another organization.

5. Connect your first integration

You’re now set up. The next step is connecting your PMS so PropSocket can start syncing your data.

Follow Connect your first Entrata integration to do this. That guide covers what to ask your Entrata team for, where to enter your credentials, and how to confirm the first sync worked.
